Research activity confirmation process

Confirmation of recruitment is one of the major use case for Siteline. Recruitment details are sent to the Central Portfolio Management System (CPMS) every night. Chief investigator (or nominated representatives) needs to confirm the recruitment on CPMS at routine intervals. Any queries on missing/incorrect data raised on CPMS returns to Siteline and gets displayed as flags.

Site administrators and site users are able to view the flagged information on Siteline to view the queries. The flags are displayed for individual projects (Research Activity tab) as well as for all the projects on the top banner. Research activity confirmations can be done at two levels (listed below).

Conflicts in recruitment data can be addressed by research delivery team by reviewing their data submitted previously and updating the information on Siteline if necessary.

Updated information from Siteline is sent back to CPMS which then can be reviewed by sponsor/nominated representative. They can confirm the data to be accurate or inaccurate on CPMS. Updated CPMS information is sent back to Siteline, and the cycle continues until all conflicts are addressed moving the RED and AMBER categorisation to GREEN on Siteline.

The ‘Research Activity’ section on Siteline shows the confirmation status of recruitment data on CPMS

When a research activity coordinator or a representative nominated by chief investigator:

  • Confirms the recruitment activity as 'Accurate', then it is displayed as ‘Green’
  • Marks the recruitment activity to be 'Requires reconfirmation', then it is displayed in ‘Amber’
  • Marks the recruitment activity as ‘Not-Accurate’, then it is displayed in ‘Red’
